Part Time Eligibility & Contributions Coordinator (Madison, WI)
Summary - The Part Time Coordinator will perform varied functions for health fund and 401(k) plan related to eligibility. An excellent candidate will be able to: work independently, multi-task, be detailed oriented, enjoy a fast-paced work environment, enjoy phone and in-person interaction with members to resolve issues.
Essential Duties and Responsibilities include but not limited to
Health Fund Related Duties:
  • Maintain eligibility records for Fund participants, including posting contributions when necessary.
  • Generate and mail necessary eligibility-related documents
    • Self-Pay notices
    • Notices of cancellation of fund coverage
    • COBRA election forms
    • Coverage reinstatement notices
  • Compile and mail new enrollment packets to newly eligible participants.
  • Coordinate with Fund service providers to maintain up-to-date participant eligibility information.
  • Process disability credits.
  • Process retiree credits.
  • Generate Medicare retiree eligibility monthly comparison file.
  • Coordinate periodic and annual Fund mailings (i.e., Summaries of material modification, annual open enrollment packets).
  • Generate and mail liquidated damages and interest assessments to delinquent employers.
  • Generate and mail delinquent notices.
  • Generate debit/credit notices.
  • Assist Plan Manager with preparation of eligibility-related reports for quarterly Board of Trustees meetings.
  • Assist with compilation of Fund records requested in connection with annual audit.
  • Ensure accurate tracking of employer audit-related payments.
  • Prepare and review month-end balancing reports.
  • Respond to participant inquiries via phone and e-mail regarding eligibility concerns.
  • Regular and predictable attendance is an essential function of this job.
401(k) Plan Related Duties:
  • Maintain contribution records for Fund participants.
  • Coordinate periodic and annual Fund mailings (i.e., summaries of material modification, summary annual report).
  • Generate and mail liquidated damages and interest assessments to delinquent employers.
  • Assist Plan Manager with preparation of Plan participation-related reports for quarterly Board of Trustees meetings.
  • Compile and mail new enrollment packets to newly eligible participants.
  • Assist with compilation of Fund records requested in connection with annual audit.
  • Ensure accurate tracking of employer audit-related payments.
  • Respond to participant inquiries via phone and e-mail regarding Plan accounts, coordinating with Plan recordkeeper as necessary.
Education and/or Experience - Post High School education or prior related work experience preferred.
Language Skills - Ability to read and interpret eligibility rules as outlined in plan Summary Plan Description (SPD), user manuals for on-line services, department rules & procedures manual, COBRA compliance manual. Ability to speak clearly and effectively explain to members, dependents, providers & union officials, eligibility and participation provisions of health fund and 401(k) plan.
Mathematical Skills - Ability to perform month-end balancing duties. Clearinghouse/lockbox duties require mathematical aptitude.
Reasoning Ability - Must be capable of performing all functions relating to month-end balancing and transfers related to clearinghouse/lockbox duties. Analysis and correction of member eligibility issues and 401(k) participation issues will be required.
Work Schedule - Part Time. Monday – Friday, 8:00am - 12:00pm. Requires in-office days but also offers at-home flexibility after 90 days.

Pay - Hourly rate is $24.85 for this position. Actual rate dependent on location, skills, education, experience and other business factors.
