Receptionist (Troy, MI)
Summary
Direct incoming calls to the appropriate destinations, assist lobby calls with members and visitors determining the nature of their business.
Essential Duties and Responsibilities include but not limited to
  • Answer incoming calls from providers and members, transferring them to the appropriate department in a timely manner.
  • Greet and assist members and visitors in the lobby in a professional and timely manner.
  • Sort incoming faxes to the appropriate departments and distribute through e-mail notification to coworkers.
  • Open mail for multiple funds and label for the appropriate claims specialist for processing.
  • Report all building maintenance issues for our suite and confirm completion of work order.
  • Place service calls to Icon for all office machines.
  • Assisting Plan Managers with Board of Trustees (BOT) Meetings by:
    • Apprising Plan Associates of visitors and presenters for the meeting
    • Accept BOT meeting food deliveries
    • Create Power Point welcome sign for BOT meetings
  • Keep the conference rooms well stocked with refreshments and assist with ordering water and pop.
  • Keep the lobby and consultation rooms tidy and clean.
  • Sign in all visitors and auditors - distribute name tags and badges, keeping track of security badges at all times.
  • Special Project - assist all departments with projects such as sorting, stuffing, alpha-sorting and any additional project assistance needed.
  • Keep front lobby secure, being aware of surroundings and the comings and goings of all visitors.
  • Keep abreast of all emergency procedures and situations.
  • Regular and predictable attendance is an essential function of this job.
Qualifications - Excellent customer service skills are a must.
Education and/or Experience – High school diploma or GED and at least one year experience with multiple line phone system is necessary.
Language Skills – Must speak clearly and professionally.
Work Environment - Fast paced department. Must be able to maintain a professional demeanor with difficult callers at all times. Phone calls are continuous and occasionally unpleasant.
Work Schedule - Full-time. Monday – Friday, 7:30am - 4:30pm. Required in office (No at-home days).

Pay
Hourly rate is $19.00. Actual rate dependent on location, skills, education, experience and other business factors.
