Your Role and What You'll Do:
As a key member of the BI team, the Diagnosis Practice Administrator provides strategic leadership and operational oversight for Behavioral Innovation’s Autism diagnostic services practice, which currently operates in 6 locations across multiple states. This program will continue to expand to more locations, so this role will be responsible for developing a scalable model for the continued growth of our diagnostic services. This role is responsible for ensuring seamless patient access and experience, optimizing business and financial performance, and leading and developing a high-performing team of Practice Manager, RCM, and administrative staff. The Practice Administrator works in close partnership with the Clinical Psychologists and senior leadership to drive operational excellence, implement scalable systems, and sustain high-quality outcomes across the diagnosis practice.
Responsibilities:
- Oversee multi-site day-to-day operations of the diagnostic practice, ensuring alignment with organizational goals, quality standards, and KPIs.
- Facilitate streamlined access to Behavioral Innovations’ ABA services for clients completing diagnostic assessments with our Clinical Psychologist.
- Monitor and analyze performance data (operational, financial, patient experience) across all diagnostic locations to identify trends and develop action plans.
- Directly supervise the Practice Manager, providing mentorship, leadership development, and strategic guidance.
- Directly supervise team of Clinical Psychologists to ensure clinical alignment, regulatory compliance, and quality assurance.
- Collaborate cross-functionally with billing, scheduling, HR, and clinical leadership to address barriers to efficiency, access, and revenue generation.
- Lead practice-wide initiatives to enhance patient intake, scheduling, and throughput processes.
- Implement standardized workflows and operational best practices to ensure consistency across all locations.
- Serve as an escalation point for complex operational and patient-related issues.
- Develop and manage key performance indicators (KPIs) and reporting dashboards to track progress toward business objectives.
- Cultivate and maintain strategic relationships with internal and external partners, including referring providers.
- Support forecasting and budget planning; identify and act on opportunities for financial improvement and resource optimization.
- Ensure all HIPAA and company policies related to privacy, compliance, and patient safety are followed.
- Facilitate training, onboarding, and continued development of Practice Manager, administrative staff, and Clinical Psychologists.
Outcomes:
- Achieve budgeted revenue and EBITDA.

- Develop a scalable and repeatable operational model with documented SOPs, KPIs, and reporting dashboards by end of year one.
What We Are Looking For:
Requirements/Qualifications:
- Bachelor's degree required, master’s degree in healthcare administration, Business, or related field preferred.
- Minimum 5-7 years of experience in healthcare practice management, with at least 3 years in a multi-site leadership role.
- Demonstrated experience in operations management and performance optimization.
- Knowledge of behavioral or mental health services strongly preferred.
- Familiarity with Salesforce, PracticeQ, or other EMR/CRM systems strongly preferred.
- Understanding of medical billing, ICD-10 coding, and payor requirements.
- Proficiency with the full Revenue Cycle process and ability to create efficient processes for the program to ensure full cash collections for services rendered.
- Ability to synthesize data and lead performance-improvement initiatives.
- Strong organizational, analytical, and interpersonal skills.
- Excellent verbal and written communication skills, with a professional presence.
- Proven ability to manage change and lead teams through growth and transformation.
- Comfortable working in a fast-paced, mission-driven, rapidly growing organization.
- Mental acuity to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgement and decisions.
